We women is looking for an Administrative Assistant (part time 3 days per week) and an Office Assistant (part time 2 days per week) starting in April 2013.
For the right candidate, the positions can be combined into a full time position.
1. Part-time Administrative Assistant Position:
The We women foundation in Chiang Mai, Thailand, promotes the education and well-being of unrecognized refugee women from Burma. The Foundation targets women whose passions, goals and motivation implicate them as future leaders of Burma. We women provides women from Burma the opportunity to succeed in higher education. The aim of We women foundation is to assist women into obtaining higher positions within policy making or influential organizations, so that they can empower women and their communities, in their own terms as policy making positions are still often held by outsiders.
For this position, We women is looking for someone who can assist the General Manager and other staff members in a wide range of administrative tasks around the office. The primary duties include, but are not limited to, managing office supplies and updating office databases, communicating with volunteers/students, and organizing meetings . The administrative assistant will also be in charge of accounting, and helping other employees with their daily activities.
Skills
You need to be a responsible, friendly and flexible person. It is important that you can organize your time and tasks efficiently and communicate well. You should have strong computer and writing skills.
Qualifications
Fluent Thai, good English (Burmese and/or Shan would be an advantage)
Experienced in Word / Excel.
Experience in working at a CBO or NGO; at least one year general office work.
Period and location
Start in April; after three months we will conduct an evaluation. Subject to the evaluation a long term contract will be made available.
Salary
For the right candidate, the position can be full time.
Three days per week: 9:00-18:00. Sometimes we need assistance with translation on the weekends. You will earn 6000 bath per month; lunch is included and you will be reimbursed for expenses made for the We women foundation.

Administrative Tasks
-Organize and track all office documents and files
-Update organization’s database (scholarship opportunities for students, possible grants, donor contacts, volunteers and staff etc.)
-Plan agenda for office meetings and record meeting minutes
Finance
- Record and track all office expenses and monitor budget
- Keep track of and pay monthly office bills (electricity, water, phone & internet)
- Prepare, record and distribute payroll for staff
- Make funds withdrawal/ transfer and payment at Bank
Communications
- Update database of We women’s contacts
- Check We women’s email account regularly
- Contact students and volunteers by phone/email (to schedule appointments, meetings, etc.) as required
- Read the Burma related news and share won Twiter where appropriate
Miscellaneous
- Other administrative related tasks as required

2. Part-time Office Assistant (2 days per week)
For this position, We women is looking for someone who can assist the Administrative Assistant and other staff members in a wide range of administrative tasks around the office. The primary duties include, but are not limited to, purchasing and monitoring office supplies, organizing office events, trips and meetings, managing the mail, organising repairs and maintenance for the office and helping other employees with their daily activities.
Skills
You need to be a responsible, friendly and flexible person. It is important that you can organize your time and tasks efficiently and communicate well. You should have strong inter-personal skills and enjoy working as part of a team.
Qualifications

- Purchase, organize and track office stationary
-Copy and print needed office materials (at local print shop)
- Make arrangements for and organize events and work-related trips for staff as required
Communications
- Go to post office to send We women’s mail
- Contact suppliers for various office needs (ordering food, purchasing office supplies, etc.)
Miscellaneous
- Arrange lunch for staff as required (purchase food from outside)
- Manage all household activities and repairs of the office (bug spray every two months, arranging the repair of broken objects, etc.)
- Assist staff/volunteers with any additional needs
-Monitor and communicate with office cleaning lady
- Assist staff/volunteers with any additional needs
